Personal Assistant to Chief Executive Officer

Role: Full-time, permanent contractExeter Science Park
Location: Exeter, Devon
Salary: £21,000 - £26,000pa

The Company:

Exeter Science Park is the result of a vision to develop a Science Park at Exeter in order to stimulate a knowledge-based economy delivering better jobs, higher productivity and economic growth. It shareholders are Devon County Council (DCC), East Devon District Council (EDDC), Exeter City Council (ECC) and the University of Exeter (UoE).

Exeter Science Park works collaboratively to facilitate the growth of innovative, fast-growing STEMM (science, technology, engineering, mathematics and medical) businesses that exploit world-class research, create jobs, attract and retain talent, and drive productivity and economic growth.

Exeter Science Park’s mission is to host, support and connect innovative STEMM companies to deliver extraordinary growth. By 2035, we envisage over 3,500 people working for companies on the Science Park with a combined turnover greater than £350M and 2,500 of these will be new, high-quality jobs. Exeter Science will have developed a successful membership scheme with over 1,000 members comprising on-site tenants as well as off-site virtual tenants, STEMM businesses and non-STEMM associates and over 7,500 new, high-quality jobs will have been created off-site.

The Role:

We’re seeking an experienced PA to support the CEO in this fast paced and innovative company.  With a natural interest in our business, you’ll take time to understand how the business operates, who the key stakeholders are and keep on top of the current priorities so you can perform a first-class administrative support service.  Using this knowledge, you will pro-actively collate, print and prepare papers, plans and other key documents to ensure the CEO has all the information needed to effectively facilitate meetings with clients, suppliers and colleagues. 

As customer service is key to our business, you will effectively screen calls and e-mails from clients and other stakeholders, prioritising queries for the CEO to deal with and, where possible, handle queries yourself.  As well as being an ambassador for Exeter Science Park when dealing with clients in the office, you will also attend meetings with the CEO when necessary ensuring the CEO is fully supported both before and after the meeting.

With an eye for accuracy, you will effectively capture discussions and actions in meetings and circulate them to all so they can be used for future reference.  The CEO will rely on you to manage her calendar ensuring that all meetings align with the business priorities and their time is optimised throughout the day.  Being one step ahead is crucial in this role as the CEO will rely on you to know what is coming up and what administrative support is needed to fulfil the priorities. 

In this growing organisation, you will have the opportunity to get involved in all aspects of the business and will be expected to support the team in a variety of ways to ensure the Organisation’s priorities are achieved.  As part of this you will play a role in supporting projects as necessary to ensure key plans, documents and registers are accurate and available to inform project progress meetings.

As someone who is keen to be an integral person in the Company, you will have the opportunity to get involved with ad hoc projects that support and improve the running of the business.

The Person:

First and foremost, you will be a highly self-motivated person who has a passion for supporting a CEO so that they can focus on the strategic development of the business.  You will have solid experience in a broad range of administrative activities with an emphasis on supporting senior managers.  Experience of working in a small and growing business would be an advantage, although it’s not essential.

Accuracy is very important to you and you demonstrate this in everything you do.  You understand the priorities of the business and can plan your time and the CEO’s time around these priorities.  Your organisational skills are first-class and you are known for your reliability and can be trusted in different situations and with a variety of sensitive and non-sensitive information.

You are someone who can use your initiative with minimal direction and can see what administrative jobs need doing to effectively support the CEO and the rest of the team.  As a Company who has the client at the heart of everything we do, you naturally identify priority queries and forward them to the appropriate person for action or handle them yourself where appropriate. 

You naturally fit into a team environment and are ready and willing to get involved in all aspects of the Company to ensure the team are supported and the business plan is achieved.  With an increasing reliance on digital and automated systems, you will have the ability and passion to easily learn new systems.  Experience in project management or project support would be an advantage but is not essential.  You would however be keen to develop your understanding and knowledge in this area to effectively support the project management discipline at the Science Park.
